1. Who we are

Rentra is a property management platform that helps hosts manage bookings, guests, and payments. For the purposes of applicable data protection law, Rentra acts as the data controller for account and platform data, and as a data processor for guest data you enter on behalf of your business.

2. Data we collect

We collect only what is necessary to provide the service:

  • Account data: name, email address, password (hashed), and workspace settings.
  • Property data: property names, addresses, room configurations, and pricing rules you create.
  • Reservation data: guest names, contact details, booking dates, and notes you enter.
  • Payment tracking: recorded payment amounts and status. We do not store card numbers or bank details.
  • Usage data: pages visited, feature usage, and error logs to improve the product. No behavioral tracking or advertising profiles.

3. Legal basis and purpose

We process your data on the following legal bases under GDPR:

  • Contract performance: to provide you with the Rentra service you signed up for.
  • Legitimate interest: to maintain platform security, prevent abuse, and improve our product through aggregated analytics.
  • Legal obligation: to comply with applicable laws, including tax and accounting requirements.

4. Data sharing

We do not sell, rent, or trade your personal data. We share data only with the following categories of sub-processors required to operate the platform:

  • Cloud infrastructure and database hosting providers.
  • Authentication providers for secure sign-in.
  • Error monitoring and logging services.

All sub-processors are contractually bound to process data only on our instructions and with appropriate safeguards.

5. Data retention

We retain your account data for as long as your account is active. When you close your account, we delete or anonymize your data within 30 days, except where we are required by law to retain it longer (for example, billing records for tax purposes, typically 7 years).

Guest and reservation data you enter follows the same retention schedule and is deleted with your account.

6. Security

We apply industry-standard technical and organizational measures including encrypted connections (TLS), hashed password storage, and access controls limited to authorized personnel. No method of transmission over the internet is 100% secure, and we encourage you to use a strong, unique password for your account.

7. Your rights

Under GDPR and similar regulations, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your data (right to erasure), subject to legal retention requirements.
  • Export your data in a portable format.
  • Object to or restrict certain processing activities.
  • Withdraw consent where processing is based on consent.

To exercise any of these rights, email us at hello@rentra-app.com. We will respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.

8. Cookies

Rentra uses only strictly necessary cookies: a session cookie to keep you signed in, and a CSRF token for security. We do not use advertising or tracking cookies.

9. Changes to this policy

We may update this policy as the product evolves. Material changes will be communicated by email or by a notice in the dashboard at least 14 days before taking effect. Continued use of the service after that date constitutes acceptance.
